CENTRAL YORK LACROSSE POSITION DESCRIPTIONS

 

PRESIDENT
Voting position
• Calls and conducts all meetings – provides agenda to Secretary for communication
• Manages the general operations of the club
• Ensures all standards and bylaws of CYLC are enforced and in effect
• Supervises and directs club officers – Vice President, Treasurer, Secretary, YCLA Representative, Disciplinary Board Member, and Athletic Director
• With Athletics Director, ensures coaching staff is in place and qualified to execute job
• Supports all Committee heads and Board members in completion of their tasks. Ex-officio member of all committees
• Proposes policy and procedures for daily operation for Board approval
• Acts as key resource for Athletic Director and coaches on strategy, knowledge of rules and sport, education resources available, etc.
• Promotes a safe learning environment for players at all ages and at all skill levels to grow the support of lacrosse in the CYLC community

VICE PRESIDENT
Voting position
• Assists the President as needed in the general operations of the club
• Acts as the club leader in absence of the President
• Ensures all standards and bylaws of CYLC are enforced and in effect
• Supports all Committee Head and Board members in completion of their tasks.
• Acts as key resource for Field and Equipment Manager and Fund Raising Manager by overseeing the day to day operational management of the club
• Promotes a safe learning environment for players at all ages and at all skill levels to grow the support of lacrosse in the CYLC community

YCLA REPRESENTATIVE
Voting Position
• Acts as voting member on YCLA for the club
• Communicates relevant issues to YCLA and represent club in all discussions and actions
• Provides report to CYLC Board from each YCLA meeting

TREASURER
Voting Position
• Keeps accurate and timely records of all financial transactions and accounts
• Ensures prompt deposits of all monies into CYLC accounts
• Disburses funds for payment and reimbursement
• Prepares budget for each season
• Works directly with the Board to manage all CYLC financial decisions
• Provides CYLC Board with financial updates and written reports at each meeting
• Supports registration by reviewing and projecting costs related to officiating, equipment and fields

SECRETARY
Voting Position
• Records minutes for each meeting and communicates to all Board members
• Keeps and distributes minutes ensuring action items are documented with a responsible person to complete task and due date to complete all assigned actions
• Coordinates and communicates all Board meetings and agendas
• Notifies Board members of votes, upcoming events and meeting dates and reminders
• Acts as communication liaison within the club
• Assists with updating information on the website related to meetings, minutes and communications

DISCIPLINARY BOARD MEMBER
Voting Position
• Address any issues between parents, player or coaches where violations regarding sportsmanship, compliance or behavior occur
• Collect information and report a summary of the situation to the CYLC President, the DBM from the other club, the YCLA president or others as required
• Respond to decisions made by communicate within CYLC and the YCLA as needed

ATHLETIC DIRECTOR
Voting Position
• Organizes and supervises the general operation of the CYLC boys’ program including coaching, education, conduct and safety
• Supervises, advises and counsels the boys’ coaches and assistant coaches in their duties and responsibilities
• Assists in reviewing, updating and ensuring compliance of CYLC coaching standards and conduct
• Enforces CYLC code of conduct by setting clear expectations for conduct and addressing violations to the code of conduct including counseling, suspension and expulsion of coaches
• Calls and conducts all coaches meetings and provides a report to the CYLC Board
• Reports any pertinent issues related to the program or coaches to the CYLC Board in a timely manner
• The Athletic Director cannot be a coach in the same season that they serve

Responsibilities with Coaches
• Assists the Board with coach selection criteria and consideration of candidates
• Must be aware of rules, regulations and requirements for players, coaches and parents regarding all facets of player health and safety issues
• Responsible for coordinating basic first aid and CPR training for coaches and determine procedure for medical emergencies
• Responsible for having coaches submit incident forms when issues or violations occur
• Ensures CYLC is compliant with YCLA and US Lacrosse regulations regarding coaching certification regulations
• Trains and develops coaches by sourcing resources, evaluating needs of coaching staff and monitoring progress of coaches during the season
• Assists coaches with issues encountered with parents or players
• Conducts ongoing evaluations of coaches, monitors coaching during the season and conducts post season formal evaluations
• Ensures coaches are trained on basic first aid and emergency procedures

ASSISTANT ATHLETIC DIRECTOR
Non-voting Position

  • Assists the Athletic Director with the operation of the CYLC boys’ program including coaching, education, conduct and safety
  • Responsible for coordinating basic first aid and CPR training for coaches and determine procedure for medical emergencies
  • Must be aware of rules, regulations and requirements for players, coaches and parents regarding all facets of player health and safety issues
  • Assists with training of coaches by sourcing resources, evaluating needs of coaching staff as needed
  • Unlike the Athletic Director, the Assistant Athletic Director can be a coach in the same season that they serve

SCHEDULING MANAGER
Voting Position
• Serves as primary contact for arranging games and events
• Provides team information to YCLA as required for scheduling
• Consults with Field and Equipment Manager on fields available for scheduling (practices and games)
• Participates in YCLA scheduling process and communicates issues and schedules to the Board and YCLA Coaches
• Posts schedules on CYLC website
• Makes and communicates any changes to the schedule both on the website and to the coaches

FIELD AND EQUIPMENT MANAGER
Voting Position
• Determines field needs for the club and acts as liaison with school district and township to request use of fields, this will require attending field allocation meetings
• Ensures all permits and requirements are met to use fields
• Monitors field conditions and determines field closure in bad weather, communicates field closures to all coaches via hotline or website
• Ensures fields are prepared and lined for practices and games
• Works with the Scheduling Manager to coordinate scheduling of fields for practices and games
• Provides accurate inventory of club equipment and uniforms and recommends needed supplies and equipment prior to the seasonal budgeting process
• Solicit people to assist with and oversee the Field Committee to schedule parent support at practices and games to include score, stat and time keeping, sideline parent responsibilities and field clean up

REGISTRATION MANAGER/WEBMASTER
Voting Position
• Plans and conducts registrations for Spring Lacrosse Season and Indoor Leagues that CYLC chooses to sanction as club events
• Communicates registration dates within community and schools
• Schedules facility for registration
• Develops forms and procedures to collect player information and build rosters
• Enters all information and provides player information to coaches
• Follows up to ensure partial payments, US Lacrosse Insurance and any other required information is current and complete
• Maintain CYLC website with access to Administrator functions
• Sets and communicates timing and standards for posting and editing information
• Looks to use the website as the key communication vehicle within CYLC and to communicate and promote lacrosse understanding and opportunities

NON-VOTING COMMITTEE POSITION DESCRIPTIONS

FUND RAISING AND ACTIVITY MANAGER
• Develop fund raising options during registration and throughout the year to provide opportunities for players to offset expenses
• Work with fund raising committee to solicit options, select and execute choices and collect all monies and give to Treasurer for deposit
• Keep an accurate accounting of all financial information and provide a summary to the Secretary for inclusion in Board minutes
• Select and coordinate photographer for team photos, schedule location and times and send messages to coaches and parents regarding the photo dates, times and pricing
• With Special Events Committee, plan year end party including location, dates, times, activities
• Determine plan for issuing participation trophies and coordinate sourcing of options and pricing
• Update the website with events and fundraising opportunities
• Coordinate ordering and delivery of trophies or rewards of recognition to coaches
• Update the website with events and fundraising opportunities

TOURNAMENT COORDINATOR
• Researches tournament options both in season and summer
• Communicates options to the CYLC Board and coaches for consideration
• Coordinates player registration
• As appropriate, coordinates payments and money collection
• As appropriate, ensures player and club insurance cover and liability coverage
• Acts as key contact to communicate all tournament related information

VOLUNTEER COORDINATOR
• Determines staffing needs of the club, monitors participation levels and solicits support for committees
• Works with coaches to ensure Team Parents and Sideline parents are named and identified at games
• Assist with filling vacancies of Board Positions as required

COACHES
• All Coaches must sign and comply with the CYLC Coaches Code of Conduct
• Assume full responsibility for team’s equipment throughout the season
• Responsible for ensuring team is equipped with basic first aid kits and ensures coaches are trained on basic first aid and emergency procedures
• Appoint Assistant Coaches and review candidates with the Athletic Director for approval
• Attend required training
• Lead organized and engaging practices to promote the success of all players
• Must be able to work with players at all skill levels
• Game management – decision maker regarding playing time, strategy and coordination
• Provides feedback and coaching in positive ways – no profanity, degrading behavior or inappropriate communication with players or parents
• Maintains and promotes a safe environment for players
• Complies with and promotes PCA (Positive Coaching Alliance) guidelines and attends training as required
• Overall understand of all YCLA rules, offense and defense
• Adheres to club playing guidelines by age level

Experience
• Prefer experience playing and coaching lacrosse
• Formal lacrosse coaching training required as determined by Athletic Director
CYLC COMMITTEES

FUND RAISING/APPAREL
Chair-FR/Activity Manager Assist with sourcing and executing fund raising events, Select CYLC apparel and uniforms by working with vendors to set pricing, coordinate sale, collect money and deliver product (potentially as a fund raising opportunity)

FIELD
Chair-Field and Equipment Mgr Assist with the preparation and clean-up of the fields and line painting (2-4 parents per team), coordinate volunteers to run clock and keep score, act as designated sideline parents and stats

SPECIAL EVENTS
Co Chairs- PR/Communications Manager and FR/Activity Manager Assist with CYLC events that promote the club, sportsmanship and recognition including the year end party, trophies and/or recognition, assist with team photo coordination (2-4 parents per team)
